  • QR scanning of consenting delegates' badges will retrieve company, name, city, province, and email details.

  • Move-In:           June 6th @ 12noon-8pm

  • Exhibit Hours:  June 7-8-9 @ 8am-4pm daily

  • Move-Out:        June 9th @ 4pm-7pm

Exhibit Booth Giveaways/Incentives

The National Standard for Support of Accredited CPD Activities requires any incentives distributed by exhibitors be approved by the CAEP Scientific Planning Committee (SPC). It is suggested that incentives be educational in nature, something that can be used in a physicians’ practice and of modest value. Please provide CAEP with a list of your suggested Exhibit Booth giveaways before Friday, May 1, 2026 for review and approval.

RBC Convention Centre Exhibit Services

To request additional services at a reduced rate (ie. electrical, hard-wired internet, banner hanging, booth cleaning, etc.), tap HERE to select and complete the form(s) before Thursday, June 4, 2026. Central Display

To rent additional furniture, carpeting, décor, freight services, etc., please tap HERE to access their exhibitor order package.  Please note that payment for their offerings must be directed through Central Display (not CAEP HQ).   

 

All inbound shipments must be received before Wednesday, June 3, 2026.  If you wish to handle your outbound freight yourself at event close, outbound shipments will be picked up on site by your freight carrier between 4:30 pm – 5:30 pm on Tuesday June 9, 2026.

 

Exhibit material remaining on site beyond the designated move out time may be forced to our warehouse at an additional charge above prevailing rates.

 

If you have ordered outbound material handling from Central Display, it must be left in the booth at the conclusion of the event for proper tagging (not at the loading dock).

Cancellation Policy

Cancellations received before 5:00pm ET, Friday, May 1, 2026, will be refunded minus a 15% administration fee.  No refunds will be issued for cancellations received after that time. Only cancellations received in writing to sponsor_caepconference@caep.ca will be processed.
